Operational Context
The International Organization for Migration (IOM) in Pakistan is implementing the Family Assistance Programme (FAP). This initiative streamlines visa application services for family reunification, resettlement, and evacuation cases destined for Germany.
We are seeking a Programme Associate to join our team in Islamabad. Working under the supervision of the Senior Project Associate, you will be responsible for the end-to-end case management of beneficiaries. This role requires a detail-oriented professional capable of managing sensitive data, conducting interviews, and coordinating logistics with the German Embassy.
Key Responsibilities
Case Management and Processing
- Process family reunification visa applications by registering appointments and creating new case files in the Dynamics 365 system.
- Conduct applicant interviews to record family histories and biographic information, ensuring all reports meet donor requirements.
- Verify data accuracy, scan documentation, and collect biometric data (fingerprints/photos) in accordance with Standard Operating Procedures (SOPs).
- Lodge application documents in the designated folders for submission to the German Embassy.
Client Services and Communication
- Assist migrants with the completion of visa application forms and conduct remote completeness checks prior to appointments.
- Serve as the primary point of contact for applicants, handling inquiries via email and telephone regarding visa requirements and schedules.
- Identify and flag vulnerable cases requiring protection support, ensuring proper referral and follow-up with the National Officer.
Coordination and logistics
- Organize family reunification appointments, including scheduling, confirmation, and logistics support.
- Liaise between the FAP management, IOM Medical Department, and the German Embassy regarding medical cases and assessments.
- Receive original documents from other offices, ensuring legalization and physical delivery to the Embassy.
- Maintain the facility equipment and oversee general office maintenance to ensure safe operations.
Compliance and Reporting
- Maintain strict confidentiality of all FAP-related matters and monitor records to mitigate fraud or malfeasance.
- Track all missing documents and submit daily updates to the Embassy.
- Generate periodic reports on application numbers, medical cases, and principle applicant contacts.
Candidate Profile
Education and Experience
- University Degree in Business Management, Social Science, or a related field with three years of relevant experience.
- OR a High School Diploma with five years of relevant experience.
- Prior experience in international organizations, service industries, or government institutions is preferred.
Technical Skills
- Proficiency in Microsoft Office (Excel, Word, PowerPoint) and data management systems.
- Strong attention to detail and the ability to organize paperwork methodically.
- Demonstrated ability to maintain accuracy and confidentiality while handling sensitive files.
Languages
- Fluency in English and Urdu is required.

- Contract Duration: 9 months (Special Short Term).
