Context and Scope

The Humanitarian Hub is a complex and essential structure operating as a consortium coordinated by Doctors of the World, the Red Cross, and other key partners.

We are recruiting an Administrative and Financial Officer to join the coordination team. This is a strategic position: you will be the guarantor of proper resource management for a multi-stakeholder project. Under the supervision of the General Coordination, you will serve as the vital link between the finance departments of the various partner NGOs and the requirements of our donors.

Your Mandate

Your role is primarily divided between financial management (the dominant focus) and transversal administrative support. You act not only as a controller but also as an advisor to the coordinators, helping to guide strategic decisions.

Key Responsibilities

Financial and Budgetary Management (Primary Focus)

  • Budget Steering: Develop and monitor the global project budget. You will produce precise quarterly analyses (actual vs. forecast expenses) to enable the coordination team to steer activities effectively.
  • Accounting Consolidation: Ensure the control and consolidation of accounting data coming from the various consortium partners. You will verify analytical allocations and the compliance of supporting documents.
  • Donor Reporting: Produce intermediate and final financial reports for public donors, working in close collaboration with the headquarters finance department.
  • Audit Management: Prepare and supervise internal and external audits, guaranteeing total transparency and flawless compliance.

Administrative Management and Procedures

  • Agreements and Partnerships: Oversee the lifecycle of agreements (drafting, signing, archiving) with partners and donors.
  • Process Definition: Draft and update the administrative and financial procedures applicable to the Hub. You will create clear tools to simplify daily management for the teams.
  • Focal Point: Act as the reference point for all administrative and financial questions vis-à-vis donors and consortium members.

Your Profile

This position requires solid technical expertise combined with the ability to navigate a complex organizational environment.

Education and Experience

  • Education: Bachelor’s or Master’s degree in Economics, Management, Business School, or Administration.
  • Experience: Minimum 5 years of experience in a similar function, ideally within the non-profit or humanitarian sector.
  • Consortium Experience: Proven experience in the financial management of consortium or multi-partner projects is a decisive asset.

Technical Skills

  • Advanced mastery of Excel and the MS Office Suite.
  • In-depth knowledge of the requirements of Belgian public donors.
  • Ability to explain financial concepts to non-financial stakeholders.
  • Languages: Perfect command of French and English. Knowledge of Dutch is an asset.
