The Opportunity

SoCha LLC is currently contracted to provide critical Monitoring, Reporting, and Capacity Strengthening (MRCS) support to the United States Department of State West Africa Regional Hub. Our work enhances the performance management of a diverse portfolio of activities across Niger and Burkina Faso.

We are seeking a Finance and Administration Assistant to join our team in Ouagadougou. This is a pivotal role for an organized professional capable of managing the intersection of financial compliance and daily office operations. You will ensure our project runs smoothly, maintaining the high standards required by our donors and stakeholders.

Position Mandate

In this dual-function role, you will serve as the backbone of our local operations. On the financial side, you are responsible for maintaining rigorous accounting records and ensuring fiscal compliance. On the administrative side, you will facilitate the logistics that allow our technical teams to focus on their core mission.

We are looking for a candidate who is fluent in both French and English and possesses specific experience with donor-funded projects (such as USAID or US State Department initiatives).

Key Responsibilities

Financial Management & Accounting

  • Daily Operations: Execute routine bookkeeping tasks and maintain the general ledger with high accuracy. You will prepare and organize all supporting documentation required for audits and internal reviews.
  • Cash Management: Oversee the petty cash fund, including the processing of payments, collection of receipts, and preparation of replenishment requests.
  • Reporting & Compliance: Assist in monthly financial closings and ensure all accounting documents are scanned, archived, and named according to SoCha’s internal procedures.
  • Taxation: Facilitate the timely payment of staff income taxes, vendor taxes, and government fees in accordance with local laws.

Office Administration & Logistics

  • Travel Coordination: Manage the movement of staff by drafting mission orders, processing visa requests for expatriates, and organizing travel logistics.
  • Facility Management: Ensure the office environment is professional and functional. This includes managing office supplies, coordinating cleaning services, and ensuring equipment is operational.
  • Event Support: Assist in the organization of workshops and meetings, including room setup, catering, and the drafting of minutes.
  • Communication: Act as the first point of contact for the office. You will manage incoming calls, draft official correspondence, and route information to the appropriate staff members.

Candidate Profile

Education & Experience

  • Academic Background: Bachelor’s degree in Accounting, Finance, Business Administration, or a closely related field.
  • Sector Experience: Previous experience working with internationally funded organizations is required. Familiarity with USAID or US Government financial regulations is a distinct advantage.
  • Technical Skills: Proficiency in financial management software (QuickBooks or similar ERP systems) and the Microsoft Office Suite.

Core Competencies

  • Bilingualism: Fluency in French and English (written and spoken) is mandatory.
  • Organizational Skills: A proven ability to manage multiple workstreams, track deadlines, and maintain organized digital and physical files.
  • Professionalism: Strong interpersonal skills with the ability to draft professional correspondence and welcome high-level visitors.

This position is based in our project office in Ouagadougou, Burkina Faso. The role requires a candidate who can work effectively under pressure while maintaining a welcoming and efficient office atmosphere.
